Add staff to your store, assign them roles, and remove access when someone leaves. All managed from Help › Users.
Who shows up in Users
Your Users list contains both your team and your customers. Filter at the top of the list by role to find who you are looking for:
Administrator. Full access to everything, including billing.
Shop manager. Full access to products, orders, and marketing, but not site settings or billing.
Editor, Author, Contributor. Content roles, for staff who only write blog posts or events.
Customer. Anyone who has registered or checked out on your store. Most users.
Subscriber. Default role for new accounts with no special permissions.
Adding a team member
Go to Help › Users › Add User.
Fill in Username, Email, and optionally first and last name.
Click Generate password to create a strong password (recommended) or set your own.
Pick the Role that matches what they need to do. When in doubt, start with the smallest role that covers their job and upgrade later if needed.
Leave Send User Notification checked so they get an email with their login.
Click Add User.
Changing someone's role
Go to Help › Users › All Users, hover the user, and click Edit. Change Role at the top of the profile and click Update User.
To change multiple users at once, check them in the list, pick Change role to... from the bulk dropdown, choose the new role, and click Change.
Removing access
When someone leaves, do not just change their password. Properly remove them:
Help › Users › All Users, hover the user, click Delete.
WordPress asks what to do with content they created (blog posts, products). Either attribute to another user or delete with them.
Confirm.
If the user has 2FA enabled and you cannot reach them, deleting is still the right call. Their codes become invalid immediately.
Tips
Give each person their own login. Shared accounts make it impossible to track who did what.
Review your user list quarterly and remove anyone who no longer needs access.
